I'm a one-person tutoring service, and I try to hold as little personal information as I can. This page explains what I hold, why, and your rights.
Who I am
The Oxford Grad Tutor is run by Spencer Mitchell, who is responsible for your personal information. You can contact me about anything on this page at Spencer@TheOxfordGradTutor.com.
What I collect
- Enquiries: your name, email address, your phone number if you'd like a consultation call, and whatever you choose to tell me, such as whether you're a parent or student, the subject and level, your country or time zone, and your message.
- Lessons: if tutoring goes ahead, contact details for the student and parent, the student's year group and exam board, lesson records and progress notes, and payment records.
- Mock Interview Scholarship applications: the applicant's name and email address, the course and university they've been invited to interview for, their interview date if known, their confirmation that they meet the eligibility requirements, and whether they're happy to hear about my other tutoring services and referral scheme.
- Reviews: if you agree, your first name, course, university and review, which I publish on this site.
If you use the enquiry form, your message is emailed to me and isn't stored on the website. This site sets no cookies of its own. I don't use analytics or advertising trackers.
Please don't send details of a student's health or additional needs by email unless they're relevant to lessons. If they are, tell me only what I need to teach well, and I'll use it only for that.
Why I use it
- To reply to enquiries and arrange consultations and trial sessions, because you've asked me to and it's a step towards agreeing lessons.
- To teach, keep records and take payment, because that's needed to provide the tutoring you've agreed.
- To run the scholarship and choose who gets a place, because I have a legitimate interest in running the programme fairly.
- To publish reviews, because you've given your consent. You can withdraw it at any time and I'll take your review down.
- To keep financial records, because the law requires it.
- To keep in touch after we finish working together, because I have a legitimate interest in occasionally contacting former students, for example to ask for a review or about helping with mock interviews for future students.
I will never sell your information. I'll only email you about my tutoring services, including my referral scheme, if you're a client and haven't opted out, or you've told me you're happy to hear about them. You can ask me to stop at any time.
Keeping in touch
When we finish working together, whether after lessons or a mock interview, I keep your name, email address and phone number (if you gave me one) so I can occasionally get in touch. For example, I might ask you for a review, or whether you'd like to help with mock interviews for future students. Just let me know at any time and I'll delete them.
Children and young people
Most of my students are under 18. Parents usually make the first enquiry. Students aged around 16 to 18 may contact me or apply for the scholarship themselves.
Who else handles it
A small number of services handle information on my behalf:
- Email: my email provider stores the emails we exchange.
- Website hosting: my web host may keep basic technical logs, including IP addresses.
- Lessons: Microsoft Teams is used for lessons and online whiteboards.
- Student records: Microsoft OneDrive stores a folder for each student, including progress records and lesson materials.
- Payments: my bank or payment provider processes payments for lessons.
For students taking Mechanics, I share information with Hamza, who teaches that part of the Maths course. We share lesson records, materials and notes on their progress in a Google Drive folder.
Some of these services may store or process information outside the UK. Where they do, I rely on the safeguards they provide under UK data protection law.
How long I keep it
- Enquiries that don't lead to lessons: 12 months after we last spoke
- Student records, including progress notes and lesson materials: 12 months after the last lesson
- Your name, email address and phone number, for keeping in touch: until you ask me to delete them
- Scholarship applications: two years after you apply
- Your name and contact details, if you said you're happy to hear about my other tutoring services and referral scheme: until you ask me to stop
- Financial records: six years, as tax law requires
- Reviews: until you ask me to remove them
After that, I delete the information.
Your rights
You can ask me for a copy of your information, or ask me to correct or delete it. You can also ask me to limit or stop using it, or to transfer it to you or someone else. Some of these rights have limits, for example where the law requires me to keep records. Students can usually make these requests themselves, and parents can make them on behalf of younger children.
Email me to make a request. If you're unhappy with how I've handled your information, please tell me, and you can also complain to the Information Commissioner's Office.
Changes to this policy
If this policy changes, I'll update this page and the date at the top.
